Privacy Policy

This policy explains what information ProntoAI ("we", "us") collects, why, and who sees it. It covers visitors to our website, our customers, and people who call a business that uses our AI receptionist.

1. What we collect

• Customers: your name, email, phone number, business details, hours, services and answers you give on our onboarding form. Payments are handled by Stripe. We do not see or store your full card number.
• Callers: when someone calls a business that uses our receptionist, we collect the call audio and a transcript, the caller's phone number, and details they share, such as their name, what they need, and any day and time they ask for. We also generate a short summary of the call.
• Website visitors: our site does not use advertising trackers. Our hosting provider may keep basic technical logs, such as IP address and browser type.

2. How we use it

We use information to run the receptionist, email call summaries to the business that owns the line, bill customers, give support, keep the service secure, and improve how the receptionist works. We do not sell personal information.

3. Recorded calls

Calls are recorded and transcribed. The receptionist tells callers that calls may be recorded. Businesses that use the service are responsible for any further notice or consent their local laws require. Callers who do not want to be recorded can hang up and contact the business directly.

4. Who else handles your information

We use other companies to provide the service, and they process data for us. These include providers of voice AI and phone numbers, automation and email delivery, payment processing, form handling and website hosting. They may use the data only to provide their services to us. We may also share information when the law requires it, or to protect our rights and the safety of others.

5. How long we keep it

We keep call recordings, transcripts and summaries for as long as the customer's service is active and for up to 12 months afterward, unless you ask us to delete them sooner. We keep billing records as long as the law requires.

6. Your choices and rights

You can ask us to show you, correct or delete the personal information we hold about you. California residents have additional rights under California law, including the right to know what is collected and to ask for deletion. Email us at the address below and we will respond within 45 days. Callers should also contact the business they called, since that business controls its own call data.

7. Security

We use reputable providers and sensible safeguards, but no system is completely secure and we cannot guarantee absolute security. Please do not give sensitive information, such as payment card numbers, Social Security numbers or passwords, to the AI receptionist.

8. Children

Our service is for businesses and is not directed to children under 13. We do not knowingly collect their information.

9. Changes

We may update this policy and will change the date above when we do. If a change is significant, we will tell customers by email.
